Champlain College seamlessly integrates Diligent into daily business

Champlain College is a small, not-for-profit, professionally focused institution based in Burlington Vermont. The Board of Trustees includes 34 members serving to set the strategic direction of the institution. With 60 committee meetings a year, the Board is active, but no one knows how busy the Board is more than Katie Hawley, Vice President and Secretary to the Board.

CHALLENGE
With over thirty members in Champlain College’s Board of Trustees, Katie Hawley has her hands full. One of her responsibilities included compiling all printed materials for the committee meetings. These packets ranged from 160 pages to 220 pages and every Board member needed a copy. A last-minute change to the document meant a longer work day for Hawley and her employees, “we knew we needed to shift from our paper product.”

APPROACH
Katie Hawley and the Board of Trustees needed to upgrade the way they handled data, but it had to be extremely secure and easy from a “cultural standpoint” so it didn’t interfere with how the Board did their work, “we wanted something that was more savvy from a technology standpoint and Diligent fit that.” Hawley is also an administrator of Champlain College’s system and she is able to use Diligent software on her desktop where she sets up the Board book that syncs with the Board member’s iPads. The Board members have Diligent on their iPads because they need the documents on the go and Hawley states, “it’s an easy process for them because it’s so flexible and lightweight.”

RESULTS
Diligent saves Hawley and her team an entire day of work before Board meetings and allows them to post last minute documents without having to pull apart paper packets. Providing the Board members with updates in enrollment and financial data has never been so easy for Hawley, “[the Board members] want things a week ahead to read them, so by using Diligent we can do both things, provide them the information a week ahead and provide them with an update at the last minute.” According to Hawley, the best feedback she received was that she didn’t hear much, the Board members are not calling with questions, and they access Diligent regularly and find it very simple.
